Intake Wizard

Our new client intake feature takes a few common intake tasks and bundles them together, saving you time!

This makes the onboarding or intake process easier for both you and your staff.

Get a quick heads up view of the progress, and quick actions to complete those tasks!

Intake Tool

To open, you can get there two ways:

1. Home

  • At the top right under Client Management click Intake Wizard

2. Clients List

  • Click group Clients (left menu)
  • At the top right click the icon (shown below)

  • From there, you'll see the intake tool
  • Read on for more information about this handy tool!

Intake Icons & Tasks (progress)

  • On the left you have new clients listed here
Note: Click on a client's "card" on the left to display their intake progress on the right.

Above we show the intake completion percentage, as well as colored icons indicating completion status. From left to right:

person Client Portal: The client portal account setup status, ability to resend an invite
calendar_today Appointment: if an appointment is scheduled or not, you can also schedule from here
article Insurance: Their current insurance or private pay status, can also be added or updated here
description Online Forms: Completion status of assigned online forms & standard client documents
credit_card Credit Card: Verify if a card is already on file, or to add a card


Intake Tasks (Progress)

  • After clicking on a client, to the right you will see the intake details
  • They are in the same order as above

Client Actions:

At the top right of each intake progress for a client, we display the following buttons and options:


person Profile:

  • View client's Profile
  • Mark Active (removes client from this list)
  • Mark Inactive (removes client from this list)

forum Communication:


sort Filters

At the top right, you can click the filter button to re-arrange the list in different orders:

Filter options include both ascending and descending order (click to toggle):

  • Date client was added
  • Therapist
  • Appointment (whether or not one is set)
  • Completeness (%)
