How do I modify Client Insurance?

Adding or modifying client insurance is an easy task, read on to learn more!

Add or Modify Client Insurance Details

To add or edit a client's specific insurance settings, go to:

  • Clients (left menu)
  • Click on the name of the client
  • Near the bottom find the section Primary Insurance shown here:

You'll be presented with the below screen if insurance is already entered:

Insurance not entered? No sweat! Just click at the top right:

From top to bottom:

At the top you'll notice all the client insurance details shown below:

Sections (click to jump):


Insurance Company

  • Here we list the insurance company selected for this client

Policy

  • Here we list the insurance policy details for this specific client
  • This includes the specific insurance company, subscriber ID, plan name, group, start/end date, and other details
  • At the bottom you can view/edit/delete the insurance ID on file
manage_search Allows you to view policy details and referring physician.
edit Allows you to edit the insurance policy.

Insured

  • Here we list the insured details, like name, relationship to insured, DOB, etc
edit Allows you to edit the insurance policy.

Benefits Confirmations

Here we list the details of the clients benefits.

This includes things like copayment amount, verification number & date, deductible amount, etc


Far right menu options:

  • To add benefits, click
  • Other menu options:
    • Click manage_search to view the notes
    • Click delete to delete the benefits confirmation
    • Click edit to edit the benefits confirmation

Pre-Authorizations

Here we list the details of insurance preauthorizations.

  • This includes things like CPT codes allowed and visits used vs. allowed
  • If using visit counts, this is automatically increased when a client is seen for an appointment

Far right menu options:

  • To add a pre-authorization, click
  • Other menu options:
    • Click manage_search to view the notes
    • Click delete to delete the pre-authorization
    • Click edit to edit the pre-authorization

Expired Primary Insurance Policies

Beneath the benefits and pre-authorizations we list any expired primary insurance policies. Click to expand.

Click edit to edit the insurance policy details.
Click keyboard_arrow_down to edit to expand the sections.


Add or Modify Client Insurance Details (Secondary Insurance)

Just beneath the primary insurance are the secondary insurance details:

You can also access this from the client profile → Insurance tab:

  • Clients (left menu)
  • Click on the name of the client
  • Click Insurance (top tab)
  • Find the section Primary Insurance shown here:

Click to edit the insurance details.
Click to add a new insurance policy.

Click View to the right of an existing Benefits Confirmation to view or edit the existing benefits confirmation.
Click to add a new benefits confirmation.

Click View to the right of an existing Pre-Auth/Cert to view or edit the existing pre-authorization.
Click to add a new pre-authorization.

Under All Primary Policies at the bottom, we list any expired policies Click the insurance name to view or make changes.
