Reports: Practice Summary

The practice summary is a report that provides a general summary of many different reports at once. Here are a few examples:
  • Charges and discounts
  • Client and insurance income
  • Breakdown of CPT code counts and fees
  • Misc. client activity and appointment counts
  • Unlocked records

Access & Overview

To access, from any screen go to:

  • insert_chart Reports (left menu)
  • Find the middle center section Business Intelligence Reports and click Practice Summary at the top:


  • You'll then see the Practice Summary shown below

Filters

Once in the Practice Summary, make sure you have the Report pull the data you want it to!

By default, we load month to date numbers but you can always change that with the Filters filter_alt that we'll discuss below.

To access, you can click on a few areas shown below:

  • The top right filter icon filter_alt
  • At the top of any section click the grey pill tag, example: 01/01/25 - 05/05/25

Want to print this report? Click the print icon print (top right beside the filter)

You can filter by:

  • Date Range
  • Therapist where you can select one or all (default)

When picking the date, we have a few preset options on the left. Alternatively you can either manually enter the date range, or click the calendar icon event to see a visual calendar.


Practice Totals

This includes both charges & payments broken down:

Here we list the time frame:

  • Total charges & discounts/adjustments
  • Insurance income (primary, secondary, and refunds)
  • Client income (payments & refunds)
  • Total Income (client + insurance income)
  • Income by type (cash, check, credit, and external credit card processing)

CPT Code Breakdown

This includes both CPT Code counts. It also includes all payments received on any date for this charge. Insurance payments not yet received will affect totals for services.



Click on each filter option to toggle between the counts.

Includes CPT codes, overall number of procedures and units used, unit and total charges, as well as total payments for each code.


Client Activity

This includes a high level of a few general client statistics at a high level overview including charted and uncharted appointment counts as well as other various demographics like who didn't return after the first visit, gender, etc.

You can also click the information icon info (top left) to toggle a quick explaination of the values within the system.

Here's a breakdown of each value:

Client Activity: This Timeframe (left side)

description Charted Appointments:

(Includes a count of both locked and unlocked chart notes where billing or charting was started. Includes primary standard & custom CPT codes)

cancel Cancelled Appointments

(With & without a chart note where an appointment was cancelled and a CPT Code selected)

event Average # Appointments: All Clients

(Where billing was started and a chart created, excludes cancellations. Also includes active and inactive client averages below it)

group Unique Clients

(Number of different patients seen within this timeframe. Ex: Jenny has 4 appointments, Joe has 3, the unique client count would be 2, and total appointment count 7)

person New Clients

(Count of unique new clients with at least 1 appointment within this timeframe that don’t have an appointment prior to the start date of the date range)

event_busy Didn't Return After First Appt

(Count of patients with only 1 appointment within this timeframe - click to show a list)

perm_contact_calendar Average Client Age

(This average age when they initially started treatment with you)

wc Gender: Male, Female, and Unspecified or Other Gender Clients

(breakdown of all clients gender seen during this timeframe - click to bring you to that report)

Client Activity: All Time (right side)

This section has some of the same details as the other filtered side, just for all time instead.

Incomplete and Uncharted Appointment List

Last but certainly not least at the bottom we have this section that allows you to review incomplete and uncharted appointments in an easy list.

  • This is for all appointments within the filtered time frame for your report
  • You can also Search search at the top right of the section beside the time frame that you can also click to adjust
  • Click each column name to organize the order
  • At the bottom change the rows shown per page, or traverse the other pages

edit_document Chart Status Legend:

    • Uncharted → An appointment is created, but billing and charting have not begun
    • New → When you either start billing or charting in the system (they're interlinked)
    • Draft → Start a chart note draft, and it either automatically saves, or you manually save it
    • Pending Review → Chart is under review (on supervisor's side)
    • Feedback → Feedback has been sent (back on supervisee's side)
