Individual Statements, Superbills and Flexible Spending Statements

Statements, Superbills and Flexible (Flex) Spending Statements are often requested by clients for a variety of reasons.

These can both be generated and viewed by staff, and optionally accessible via the client portal.

Breakdown of the Different Statement Options:

description Client Statement

A client statement is a document that records the balance owed by a client over a specific date span. It includes details such as: outstanding balance, charges and payments history, and available credit.


description Superbill

A superbill is a detailed statement for a patient encounter that includes medical billing codes for services provided. Insurance companies typically use superbills to reimburse patients, rather than providers, for one date of service.


description Flex Spending Statement

A Flexible Spending Statement is a detailed statement for a patient encounters that includes medical billing codes for services provided for a specific date span. This statement is used for proof of the medical expense paid for by the client.


Additional Information:

  • Statements & Flexible Spending Statements both give you the date range option
  • A Superbill is for one specific date of service
  • Superbill & Flexible Spending Statements allow you to include the diagnosis codes

Creating Statements

To create either of the three above statement types, follow these steps:

  • Click Clients (left menu)
  • Click the client's name
  • Click Billing (top tab)
  • To the right of the top line Account History click near the top (above their Balance)

From here, follow the steps from top to bottom, reviewing each option.

First select the statement type:


Next pick the applicable Therapist(s).

If it's a Statement or Flexible Spending Statement, pick the date range:


  • On the left are some preset common filter options, click to use
  • Click on the numbered date line to edit
  • Click the far right calendar icon event for a visual date picker

Then review the additional options below:

  • Include diagnosis codes or not (Superbill & Flexible Spending Statements only)
  • Statement delivery preference (electronic/print)
  • Use practice or therapist individual information
  • Use client legal name (default for Flexible Spending Statements & Superbills) vs preferred name
  • Insurance information to include (Superbill & Flexible Spending Statements only)
  • Statement Message/Memo (Statement only)
  • Include a return (payment) page (Statement only)


Click to show a preview of what the generated statement will look like:


After reviewing, click (top center) to generate and send the statements.


  • Click to return to the Billing Dashboard
  • Click to download a PDF of all the generated statements to your computer
  • Click to print them out

Using a Superbill and seeing No Data Available?

You're likely using a Custom CPT Code which can't be included on superbills. For a fix read below:

To fix this, you'd go to:

  • Clients (left menu)
  • Click on the clients name
  • Then click on Billing (top tab)
  • Click on the DOS or CPT Code name
  • Click on the Description shown here:


  • Click the CPT Code dropdown and select a (standard) CPT Code, then click (bottom right)


Then resume the above steps.


View a Generated Statement

Generated statement are automatically listed on the client profile under the Billing tab based on the date generated.


To View

Click on the name of the statement:


To Delete:

Click the red trash can delete to the right on the same line.


Note: Deleting this statement will also remove the statement from the client portal.

Download or Print a Statement

After you click on the statement, we open a new tab with a statement PDF.

Most browsers provide handy built-in PDF controls directly in the browser at the top right corner. Use this to either download or print a statement.

If you clicked on a statement to view, and nothing happened, your browser may have pop-ups blocked. You'll need to disable that first.

Client Portal: How to View Statements

If you've enabled it, clients can view any previously generated Statements, Super Bills, or Flex Spending Statements from the client portal.


Review your Client Portal Settings

To review or edit this setting:

  • Click your name (top right menu)
  • Then on
  • Owner or Manager? You can switch to another provider's settings using this dropdown at the top:


  • Click Client Portal (top tab)
  • Ensure Allow clients to view their accounts and receive statements? is set to yes
  • If not, click the top right blue button, change the setting to yes and click


View from the Client Portal

To view from the client portal, clients first need to get to the sign in screen. There are a few ways to get there, including:


Once Signed In as a Client:

  • $ Billing (left menu)
  • Here clients are shown an almost identical billing screen that you see
  • Click on the name or date of the Statement, Superbill or Flex Spending Statement


  • This will open up a PDF view of the statement
  • From here, clients can use their built in browser controls for PDFs to either save or print
