This tab of the client profile aims to consolidate message actions between you and this specific client.


Key actions:

  • Access any message threads sent between you and this client (includes group messages)
  • View attachments sent within message threads
  • Compose a new message (top right)

Access Steps:

  • From any screen click Clients (left menu)
  • Click the client name
  • Click Messages (top tab)

  • From the Calendar or Home screen, click an appointment to open its pop-up window.
  • Below the Client Alert, you’ll see the client’s profile tabs — these are always available here.

Attachments from Messages

Any attachments sent to or from the client via the portal messaging system will be consolidated & included below, but is only be visible to the staff member on the thread until they allow all staff access.

These are also visible to the client in the client portal via the original message attachment.

  • If this attachment is from your message and you want to share it with all staff, click
    • Alternatively you can do this inside the message thread beside the attachment
    • Change your mind and want to make the attachment private again? Click in the same area
  • Click the attachment name to view, which will open in a new tab
  • If you are a part of the message thread, click to bring you to the message thread
  • To delete the message attachment, click
Not seeing the delete option? Your owner or manager will need to enable this first. Have them review our Security Article → Records Deletion feature to enable this.

Why were message attachments moved out of the client docs & forms?

This change is designed to help clarify what is included in the formal client clinical record. Under HIPAA, the designated record set includes documents that are used to make clinical decisions about a client. Files intentionally uploaded to the Docs & Forms sections fall under that definition by default. Message attachments, however, can vary widely in purpose; some are clinically relevant, while others are simply for communication or administrative use (e.g., reference images, insurance cards, scheduling documents). Because of that, message attachments are not automatically considered part of the clinical record.

By displaying message attachments within the Messages tab portion instead of alongside clinical documents, the system helps providers clearly distinguish between communication materials and documents that should be part of the client's official record. If a message attachment should be part of the clinical record, providers can upload that file to the Documents on File section so it is included in the official designated record set and retained accordingly.

This separation supports cleaner charting, more accurate record releases, and ensures providers remain in control of what is and is not part of the client's official clinical documentation.
