View Credit Card Transactions in your Card Processor Portal

While TherapyAppointment offers several reports to track credit card payments, many users also find it helpful to explore the credit card processor’s portal for additional insights.

If you’ve signed up for integrated credit card processing with one of our partners—Finix or Global Payments—you’ll also get access to a separate dashboard through their system. This dashboard allows you view all transaction activity, including successful payments and declined attempts.

In this guide, we’ll show you how to access that portal and review the key information it provides.

View transactions in Global Payments

First, you'll access their sign in page here: open_in_new Global Payments Dashboard

Still can't sign in? Call the number they have at the bottom of the sign in page: call 1.800.941.6557

You'll be presented with your dashboard. Key areas include look up by reference # (left menu) as well as the History (top tab) where you can also search by date range and a few other filters.


Look up a transaction by reference #

You can retrieve the unique transaction reference # within our system in a few areas, namely:


Example in the client payment screen:


Then copy and paste the reference # into the Global Payments dashboard Find Reference # search (left menu):


The transaction details will then load, giving you a few options like refunding or partially refunding a payment or emailing a receipt.

  • Receipts are always available within TherapyAppointment for staff and clients to view
  • They're automatically generated with the payment & accessible to clients within the client portal with access to their billing

Listed Transactions

To view a list of your transactions, including sales, refunds, and declined transactions, click the History top tab:

Note: Above the transactions is an iconography legend. Pay attention to the far left icons beside each transaction to differentiate for example a sale and declined transaction.

Click on any transaction to review the details, shown below:

Note: Once the payment is expanded, depending on the transaction state you may have different blue buttons at the top right. Within the first day you will see instead of refund until that daily payment batch is processed:

After processing:

It will change to once the transaction is finalized.

If a transaction is declined, similarly you can click the transaction for additional details:

You have a behind the scenes all access pass!

Credit card processors and by extension TherapyAppointment are the messengers in credit card transactions.

Steps:

airline_stops We securely pass along the information to the card processor
airline_stops The card processor reaches out to the cardholder's bank with the information given

playing_cards The client's bank is the one who "holds all the cards" credit_card so to speak in a transaction — they either approve or deny a charge based on the information given by you or the client (Name, Address, Zip). If they don't match, it will be declined. That decision is then sent back to the card processor, to us, and then to you.

Typically a decline will result in clients having to contact their bank (card issuer) and ask them why they're declining the charges.

If you're having difficulties with this, give your clients these helpful details:

  • The date/time you attempted the transaction
  • The $ amount charged

Once that's been squared away with the client and their bank, have the client give you the information again and re-enter the card to process a charge, or have them enter their card in the client portal my profile area.

Search Transactions

Can't find your transaction? Use the search feature!

While in the History top tab click search Find (top right):


You'll then be presented with a more advanced search including reference number, set or custom time spans, by card #, name, etc.


View Transactions in Finix

First, you'll access their sign in page here: open_in_new Finix Dashboard

Alternatively, owners and managers can:

  • On any screen click (top right)
  • Then click Billing & Ins (top tab)
  • Find the section Payment Processing near the bottom shown below
  • On the top line, click Go to the Finix Portal


  • Enter your credentials

Look up a Transaction by Reference #

You can retrieve the unique transaction reference # within our system in a few areas, namely:

Return to the Finix Dashboard. On any page click the top ID Search field and copy and paste the reference # from the TherapyAppointment payment steps above:

Listed Transactions

To review a complete list of all transaction attempts:

  • Click credit_card Transactions (left menu) to expand
  • Then click Payments underneath:


  • By default we list all payment attempts, but at the top you can toggle between statuses like succeeded and failed
  • For more filter options click (to the right of the date range)
  • Click an entry for more details

View Declined Transactions for More Details

While in the Payments screen above, click on the payment to open the failure or decline transaction details on the right hand side:
